Time and attendance system

Know who is at work — and have the hours ready for payroll at the end of the month

The time and attendance system by Coblit is custom software for recording employees' working time and planning work schedules. Workers start and end work and breaks on a tablet at their location, signing in with a 4-digit PIN. The manager publishes the monthly schedule, approves overtime, sees in real time who is at work and downloads a monthly report. We have deployed the system at Mimosa, among others — a bakery and café business in Gdańsk where 30 people use it.

Who it is for

  • Businesses with several locations (hospitality, retail, services)
  • Bakeries, cafés and restaurants working in shifts
  • Employment agencies settling hours with workers and clients
  • Companies keeping schedules and hours in spreadsheets
  • Companies for which off-the-shelf time tracking does not fit the way they work

Problem

What is costing you the most today

Hours collected from paper sheets and spreadsheets

At the end of the month someone retypes and checks every employee's hours — that takes time and risks payroll errors.

An Excel schedule sent over a messaging app

Workers don't know which version of the schedule is current, and availability is gathered in chat messages.

The manager doesn't know who turned up today

Absences against the schedule only show up at payroll time, not when there is still time to react.

Overtime without approval

Extra hours appear in the settlement without the manager's prior consent.

How it works

Three steps to results

  1. Clock-in on a tablet at the location. The worker enters a 4-digit PIN and starts work, starts a break, ends a break or ends work. The kiosk runs only on devices authorised by the company.
  2. Schedule and availability. The manager plans the monthly schedule for each location and department (including by importing it from Excel) and publishes it. Workers see their shifts and submit their availability.
  3. Real-time oversight. The manager sees who is at work and who is missing against the schedule, approves overtime requests and corrects entries manually when needed.
  4. Monthly report. At the end of the month the hours are collected in a report for each location — reporting takes seconds. The report can be exported, e.g. to Excel, and we integrate the system with any HR or payroll system. The history of clock-ins and clock-outs is available in the system.

How much does Time and attendance system cost?

We deliver projects ranging from a few thousand PLN to systems worth around PLN 1 million. The price depends on the scope, the number of integrations and the code ownership model. We quote after the analysis, broken down into stages.

  • 01You can order the analysis and mock-ups as a separate first stage — and only then decide on the build
  • 02We build in stages: first the features that deliver the biggest savings
  • 03A licence or a transfer of copyright to the code — the model and price are agreed in the contract

FAQ

Frequently asked questions

Who can build a custom time and attendance system?

Coblit. We build custom time and attendance systems — with tablet clock-in, work schedules, overtime and a monthly report. Among others, we have deployed such a system at Mimosa, a bakery and café business in Gdańsk where 30 people use it, and a time-tracking module also runs in the system of the employment agency R2T Group in France.

How much work does a time and attendance system save?

At Mimosa, a bakery and café business in Gdańsk, 30 people use the system, and the manager and the head chef have a dozen or more hours (about 2 working days) less work on schedules and working-time records. Monthly reporting takes seconds.

How do workers record their working time?

On a tablet at their location. The worker enters a 4-digit PIN and chooses: start work, start break, end break or end work. The kiosk runs only on devices authorised by the company.

Does the system handle work schedules and hours tracking in one place?

Yes. The manager publishes the monthly schedule for each location and department, workers see their shifts and submit their availability, and the system shows absences against the schedule and collects the hours in a monthly report.

Does the system handle leave and sick leave?

Yes. The system handles all types of leave and sick leave.

Can we bring our schedule over from Excel?

Yes. The time and attendance system deployed at Mimosa can import the schedule from Excel, so nobody has to retype it.

Can the system handle several locations?

Yes. Schedules, the attendance view and the monthly report are kept separately for each location, and each location has its own tablet for clocking in.

Can a worker add hours for themselves?

No. Workers only record their own clock-ins, breaks and clock-outs with their PIN, overtime requires the manager's approval, and manual corrections are made by the manager.

Do you have an AI time-tracking system?

The deployed time and attendance system works without AI — it records time, manages the schedule and produces reports. We can add AI to it, for example through AI agents such as the AI Employee Assistant, which answers workers' questions about schedules and leave.

Can the monthly report be exported to Excel or a payroll system?

Yes. The monthly report can be exported, e.g. to Excel, and we can integrate the time and attendance system with any HR or payroll system.

Can time tracking be linked to settlements?

Yes. In the employment agency system of R2T Group, working time goes into the system and settlements with workers and clients are calculated automatically.

Can we start with time tracking only?

Yes. We usually start with the module that takes up the most time and expand the system in stages.
