Table bookings, events and catering without a phone call — AI serves restaurant guests 24/7

Coblit's AI chatbot serves guests of a Gdańsk restaurant: books tables, takes events and catering, sends a deposit link and a KSeF e-invoice.

About the project

Restaurant in Gdańsk

We designed an AI system that takes over guest service — from first contact, through bookings, to events and catering. It works as a chatbot on the website and on WhatsApp.

The outcome at a glance

  • Fewer phone calls to the restaurant
  • Bookings work 24/7
  • Lighter staff workload
  • An organised process for events and catering
  • More guests served

Project journey

From challenge to success

Problem

Serving guests was time-consuming and required a lot of staff involvement: phone calls about bookings, arranging event dates by hand, repetitive questions about the menu and allergens, and taking deposits manually.

  • Answering phone calls about bookings
  • Arranging event dates by hand
  • Repetitive questions about the menu and allergens
  • Taking deposits manually
  • Scattered communication

Cost of the problem

Every day without a solution meant more manual work, slower service and missed opportunities.

  • Heavy staff workload
  • Bookings lost outside opening hours
  • Communication errors with guests
  • Delays in confirming dates
  • Guest service that doesn't scale

Solution

We designed an AI system that takes over guest service — from first contact, through bookings, to events and catering. It works as a chatbot on the website and on WhatsApp.

  • Table bookings
  • Bookings for special-occasion events
  • Handling catering enquiries
  • Deposit payment links
  • Invoices in KSeF (Poland's national e-invoicing system)
  • Menu, ingredients and allergens

Business results

Guest service is no longer a bottleneck.

  • Fewer phone calls to the restaurant
  • Bookings work 24/7
  • Lighter staff workload
  • An organised process for events and catering
  • More guests served

Key value

What really makes the difference

Bookings without a phone call

  • Checks table availability
  • Collects guest details
  • Confirms the booking
  • Sends a deposit link

The process runs automatically, without staff involvement.

WhatsApp as a sales channel

  • Conversation started on the website and continued on WhatsApp
  • A complete booking within the messaging app
  • Quick contact in a channel guests already know

More enquiries turn into bookings.

Events and catering

  • Birthdays, First Communions, christenings, company gatherings
  • Number of guests, preferences, budget, allergies, date
  • Complete details passed to the restaurant

The restaurant prepares an offer without involving staff in gathering information.

Payments and KSeF

  • Deposit links
  • Payment confirmation
  • Issuing invoices in KSeF

Summary

The project shows how AI can take over guest service in a restaurant — from bookings to selling additional services — and act as a digital assistant available around the clock.

Who it’s for

Who this kind of solution helps most

We see similar challenges in many companies. If you recognise yourself in this list, this project shows what we can do for you too.

  • Restaurants and bistros
  • Catering companies
  • Hotels with a restaurant
  • Wedding and banquet venues
  • Cafés and patisseries taking orders
  • Organisers of special-occasion events

Why it works

5 reasons why this solution works

I want a similar solution
  1. Bookings after hours too

The chatbot takes bookings 24/7, so the restaurant doesn't lose guests when nobody answers the phone.

  2. WhatsApp as a sales channel

A conversation started on the website moves to a messaging app guests already know, so more enquiries end in a booking.

  3. Complete event details

The number of guests, preferences, budget, allergies and date reach the restaurant, which prepares an offer without follow-up questions.

  4. Deposits and invoices automatically

Payment links, confirmations and KSeF invoices require no manual work from staff.

  5. Menu and allergens in the conversation

The chatbot handles repetitive questions, which relieves staff and reduces communication errors with guests.

How we ran the project

From analysis to ongoing development — one partner at every stage

This is how we worked together on the Restaurant in Gdańsk project: from understanding the processes, through wireframes and architecture, to rollout and further development.

  1. Analysis and workshops with the client’s team

We talk to the people who will use the system. We map out how processes work today, where time and money are being lost, and how they should work a year from now, once the company has grown.

    In this project
    • Together with the restaurant, we mapped out what takes up staff time: bookings, events, catering, menu and allergens, deposits
    • We decided which of these the chatbot can close on its own and which it should hand over to staff
    What you gain

We build what solves a real problem — not a list of features nobody will use.

  2. UX/UI mock-ups and prototype

We design screens and user journeys in Figma and test a clickable prototype with future users before the first line of code is written.

    In this project
    • We designed conversation scenarios for table bookings, special-occasion events and catering
    • We planned a smooth hand-over of the conversation from the website to WhatsApp
    • Mock-ups and a clickable prototype prepared in Figma
    What you gain

You see and test the solution at the outset — changes to a mock-up cost a fraction of changes to a finished system. You can order the analysis and mock-ups as a separate stage.

  3. Technology selection and architecture

We choose technologies to match the goal, the budget and the systems already running in the company. We design the architecture, integrations and data security so that the system can grow together with the business.

    In this project
    • We connected the chatbot to bookings, deposit payments and KSeF via API
    Technologies in this project
    • AI chatbot
    • API integrations
    • WhatsApp
    • KSeF
    What you gain

No costly rework a year later — the system is ready for more users, more data and new features.

  4. Building in stages

We work in short stages and show a working version every few weeks. We launch the features that deliver the biggest savings first.

    In this project
    • Table and event bookings, catering enquiries with complete details
    • Menu, ingredients and allergens in the conversation, deposit links and KSeF invoices
    What you gain

You have constant visibility of progress, a say in the direction and see the first results sooner.

  5. Testing, deployment and training

We test the system, migrate the data, launch it in the production environment and train the team in day-to-day use.

    In this project
    • We launched the chatbot on the restaurant's website and on WhatsApp
    • Bookings work 24/7, with no phone calls to staff
    What you gain

A smooth start without downtime — from day one the team knows how to work in the new system.

  6. Support and development after launch (SLA)

After launch we monitor operation, respond to tickets under the SLA and extend the system with further features and automations.

    In this project
    • We keep extending the scenarios with new types of enquiries and seasonal offers
    What you gain

One partner from idea to ongoing development — you are never left alone with the system.
