Event registration in seconds and full control over participants — a system for a medical university

Coblit built a simple event seat booking system with a participant management panel for the Medical University of Łódź.

About the project

Medical University of Łódź

We designed and delivered a simple seat booking system: a panel for managing events and participants and a quick registration form with seat limit control.

“The system built by Coblit has significantly simplified event registration and participant management. The solution is very intuitive for both administrators and the users signing up for events. As a result, we were able to streamline event organisation and reduce manual work. The cooperation ran very smoothly and professionally. We recommend Coblit as a partner for custom systems.”

The outcome at a glance

  • No more manual registration
  • Organised event management
  • Lighter administrative workload
  • Better control over participants

Project journey

From challenge to success

Problem

Registration for educational events and lectures was disorganised and required manual handling — with no single system and no control over the number of participants.

  • No single registration system
  • Sign-ups collected by hand
  • No control over the number of participants
  • Heavy administrative workload

Cost of the problem

Every day without a solution meant more manual work, slower service and missed opportunities.

  • Time-consuming registration handling
  • Risk of too many participants
  • Unclear participant lists
  • Events harder to organise

Solution

We designed and delivered a simple seat booking system: a panel for managing events and participants and a quick registration form with seat limit control.

  • Admin panel
  • Adding and editing events
  • Participant management
  • Simple registration form
  • Seat limit control

Business results

After the rollout, the client had a working solution that took over work previously done by hand.

  • No more manual registration
  • Organised event management
  • Lighter administrative workload
  • Better control over participants

Key value

What really makes the difference

Simplicity for participants

  • Registration in seconds
  • No complicated steps
  • No instructions needed

Control for organisers

  • Participant overview
  • Events in one place
  • Seat limit control

Summary

A simple, well-fitted tool can significantly improve event organisation — without unnecessary complexity.

Who it’s for

Who this kind of solution helps most

We see similar challenges in many companies. If you recognise yourself in this list, this project shows what we can do for you too.

  • Universities and educational institutions
  • Organisers of conferences and lectures
  • Hospitals running training for staff
  • Libraries and community cultural centres
  • Training companies
  • Organisations handling registration with forms and Excel

Why it works

5 reasons why this solution works

I want a similar solution
  1. Registration in seconds

A simple form with no complicated steps or instructions means participants register on their own.

  2. Seat limit control

The system enforces the limit, so there is no risk of too many participants.

  3. Events in one panel

Administrators add and edit events and view participants in one place.

  4. No more manual registration

Sign-ups are no longer collected by hand, which reduces the administrative workload.

  5. Simplicity instead of complexity

A well-fitted tool without unnecessary features improves event organisation and is easy to use.

How we ran the project

From analysis to ongoing development — one partner at every stage

This is how we worked together on the Medical University of Łódź project: from understanding the processes, through wireframes and architecture, to rollout and further development.

  1. Analysis and workshops with the client’s team

We talk to the people who will use the system. We map out how processes work today, where time and money are being lost, and how they should work a year from now, once the company has grown.

    In this project
    • Together with the university, we analysed how sign-ups for events and lectures were being collected
    • We established what organisers need: seat limit control and a participant list
    What you gain

We build what solves a real problem — not a list of features nobody will use.

  2. UX/UI mock-ups and prototype

We design screens and user journeys in Figma and test a clickable prototype with future users before the first line of code is written.

    In this project
    • We designed registration that takes seconds — with no unnecessary steps or instructions
    • Mock-ups and a clickable prototype prepared in Figma
    What you gain

You see and test the solution at the outset — changes to a mock-up cost a fraction of changes to a finished system. You can order the analysis and mock-ups as a separate stage.

  3. Technology selection and architecture

We choose technologies to match the goal, the budget and the systems already running in the company. We design the architecture, integrations and data security so that the system can grow together with the business.

    In this project
    • We opted for a simple web application without unnecessary complexity, easy to maintain
    Technologies in this project
    • Web application
    What you gain

No costly rework a year later — the system is ready for more users, more data and new features.

  4. Building in stages

We work in short stages and show a working version every few weeks. We launch the features that deliver the biggest savings first.

    In this project
    • Admin panel for events and participants
    • Registration form with seat limit control
    What you gain

You have constant visibility of progress, a say in the direction and see the first results sooner.

  5. Testing, deployment and training

We test the system, migrate the data, launch it in the production environment and train the team in day-to-day use.

    In this project
    • Fast launch of an intuitive system for organisers and participants
    • No more collecting sign-ups by hand
    What you gain

A smooth start without downtime — from day one the team knows how to work in the new system.

  6. Support and development after launch (SLA)

After launch we monitor operation, respond to tickets under the SLA and extend the system with further features and automations.

    In this project
    • The system can be extended with more event types and notifications
    What you gain

One partner from idea to ongoing development — you are never left alone with the system.
